Last Meeting:  Minutes of June 7, 2006 were approved with one revision.

Special Agenda Items:

1. Review the Reese Library Mission Statement

Camilla Reid distributed a page with the old and new versions of our mission statement (last affirmed in January, 2006). Following discussion, a grammatical change was made. The change made in January to reflect our emphasis on student retention was retained and may be updated as the university’s mission statement is updated. It was noted that the library has taken a step to encourage retention by applying for and gaining funding for a family room (room 305).

The Mission Statement now reads:

Reese Library supports the University’s mission of teaching, advancement of knowledge, and student retention and graduation by

·         providing effective access to a broad range of learning resources

·         promoting the use of quality information in all formats

·         instructing students in seeking and evaluating information

·         creating an environment in which instruction and research can flourish

·         encouraging lifelong learning.

Reese Library supports the community mission of the university as a cultural and intellectual resource.

2. Review the Unit Plan

The group reviewed the unit plan, removing from the document goals that had been achieved. Future review of the unit plan will include revisions and the addition of new items for Fiscal Year 2007.

Area Reports:

Reference: (Fay Verburg):
The group discussed the best method for handling a regular library user who requires more attention than other users.

Library Instruction: (Camilla Baker):
* Camilla has a brief powerpoint slide show (8 slides) for the orientation sessions for incoming freshmen being conducted by Student Activities. Additional dates are being added, with four sessions per day planned. The sessions already conducted have gone well. Student Activities will hold a meeting June 23 to discuss the new orientation session process. Dr. Nelson noted that these sessions needed to be added to the unit plan for the library.

* The Evergreen training is being rescheduled for Athens. [Camilla, want to add to this?]

Special Collections: (John O'Shea):
No report

Technical Services: (Diane Black):
The unit is working on renewals, cancellations, processing several large collections that have been donated, and preparing for the annual system rollover to a new acquisitions year.

Automation: (Jeff Heck):
Bill Wells is working with Camilla Baker to replace the previous version of the student evaluation form with an Adobe Acrobat form.

Outreach: (Mellie Kerins):
* Reese Library will sponsor a public viewing of the program "The Coast Guard at War" at 11:30 a.m. on Thursday, June 29, in room 160, University Hall. Bill Wells, library technical support specialist, is featured in the 50-minute program that aired in May on Discovery's Military Channel.

* A Round Robin form has been distributed for library employees to fill out as part of an Inreach program to help staff and faculty learn more about each other.

Electronic Resources: (Martha Bryant):
* After contacting the vendor, Martha received a second quote for the Beilstein database. The price for use on one, non-networked computer station is $5448 per year. The unlimited, networked version is more than $16,000.

* Our trial of the Country Watch database ends Friday. Consensus seems to be that the CIA World Factbook provides equivalent information at no cost.

Government Documents: (Joe Schneider):
* Deborah Tritt, currently performing an internship with the Digital Library of Georgia, is enjoying the work. Her next activity includes doing original cataloging on materials for the Library, so she has been learning about AACR2, the rules for developing a catalog record.

* Francine McCoy, Technical Services, has been helpful in converting materials from Reference and the Stacks to Government Documents. Phillip Mixon has also made the process much easier.

Media Services: (Rose Axton):
* Edgar La Motte, reporting for Rose, discussed a major grant proposal underway to renovate the instructional technology in the Science Building .

* Edgar also noted the change in job descriptions in Media Services and his move into the role of Media Services Manager.

Circulation/Associate Director: (Camilla Reid ):
* Bibliographers at UGA have expressed an interest in evaluating  materials we will not be able to use from recent donations. They are providing instructions on handling the transfer of the materials.

* The Partnership for a Nation of Learners videoconference, held Monday, June 19, had 12 attendees from ASU and the community, including representatives from the Morris Museum of Art, the Heritage Council of North Augusta, University Hospital, and the East Central Georgia Regional Library.

* Martha Bryant, Michelle DeLoach and Diane Black have been working with Camilla on the renewal of our electronic databases. We have cancelled Morningstar.

* Jewish Literature Grant materials have been distributed to area synagogues, libraries, and bookstores. The theme of the American Library Association/Nextbook-supported project is “A Mind of Her Own: Fathers and Daughters in a Changing World.” Camilla has purchased multiple copies of books for registrants of the program which will be available to registrants at the Circulation Desk. Camilla also has a list of books available at local libraries relating to the project.

Director: (Bill Nelson):
Dr. Nelson will be the American Library Association Conference from June 22nd through the 27th.

Miscellaneous: The Georgia Independent Schools Association has signed up to access the GALILEO databases. Augusta Preparatory Day School and Westminster Schools of Augusta are participating locally.
