Library Faculty Meeting Minutes

Last Meeting:  Minutes of June 13, 2007, meeting were approved as corrected.

Special Agenda Items:

(1)    Discuss/reaffirm library mission statement and unit plan strategies for FY08                The current mission statement was discussed.  After consideration of several possible changes, there was a motion by Camilla Baker (seconded by Fay Verburg) the current Reese Library mission statement be reaffirmed.  The motion was unanimously approved.

(2)    “Secret Shopper” project with Dr. Barbara Coleman, Hull College of Business                After discussion, it was decided to the Library would participate in this project; Dr. Coleman will be invited to attend the next meeting to explain further details.

(3)    Discussion of the needs of the library and the Government Docs position (coming open)   There was extensive discussion of the options for filling the faculty position, and the needs of the Library.  It was decided that, during the interim while the position is open, Marshall Abuwi, a part-time clerical employee who is capable, well-trained and already working in Reference, will act as an evening reference person.  He will work Monday through Thursday evenings, with a librarian on call to provide additional assistance.  Other duties of the Docs position will be shared by various faculty and staff with experience in working with government documents.

Reference: (Fay Verburg):                                                                                                                         Fay reported that she is working on a shelflist project of materials in the “Z” classification.

Library Instruction: (Camilla Baker):
Thus far 7 instruction classes have been scheduled and conducted for the summer sessions; this is a higher number than usual for the summer.

Special Collections: (John O'Shea):
 John and Carol will be attending the State Archives Workshop in Atlanta on July 20th.
 Carol will be taking part in the “trading libraries” project; she will be going to Georgia College & State University in August to observe the work of their archives.

Technical Services: (Diane Black):
Diane does not have anything additional to report.

Automation: (Jeff Heck):
The LOCKSS computer program (designed as a shared backup for journals) has arrived.
The campus VLAN (virtual LAN) has been installed on Library computers.
The E-Res program upgrade has been completed.

Outreach: (Matthew Whittington):
Matthew is working on a new issue of “Reese’s Pieces.”
The Outreach department is planning for a display dealing with the 400th anniversary of Jamestown.
The latest student orientation session was attended by Matthew, representing the Library.  There was low turnout at that session because it was for transfer students who frequently do not attend; it was also near the July Fourth holiday.

Electronic Resources: (Martha Bryant):

Online access to the Bibliography of the History of Art is now available.  It has been entered into the GALILEO menu; as soon as it appears there, she will advertise it to the campus.

Government Documents: (Joe Schneider):
The next major activity for Documents is the shifting of materials due to shift in location of many documents.  However, the “big shift” is not expected to take place until January of 2009.
There is a temporary location for some of the documents, pending the shift.  Documents staff should be consulted for directions to this material.

Media Services: (Steve White):
Steve reported that there will be new workstation installations in the Science Building.
He reported that 10 new, fully-networked computers will be installed in the Media Services lab area. * More professors are now communicating with Media Services staff concerning the needs of their students.

Circulation/Associate Director: (Camilla Reid):
 She reported on the historical material this is being donated by Mr. Glover “Rusty” Bailie.  There are some excellent historical materials in his collection. He is working on putting it in order (with notes) with the help of Katherine Sweeny who is his neighbor and has volunteered to help him with the project.
Angela Morgan and the Music faculty have met with Library staff regarding the sheet music collection.  The following issues have been identified with this material:   
(1) It is in disrepair. (The Library hopes to begin a project to repair and preserve it.  Dr. Morgan has requested funding from her Dean; estimated cost is $9,000 to 10,000 for the entire project.)

(2) It needs to be housed with the music CDs. (These are currently in Media Services).

Since time was insufficient for discussion of the unit plan strategies for FY08, Camilla asked everyone to review the FY07 unit plan and comment on suggestions for FY08.

Director: (Bill Nelson):
He reported on the “trading libraries” project.  Two Reese Library staff members will be taking part in the program:  Amy Geisen (going to Armstrong Atlantic State University) and Carol Waggoner-Angleton (going to Georgia College & State University).

 

Committee Reports:                                                                                                                                       ASU Staff Council:  Michelle DeLoach reported on the discussion of “personal holidays” at the last Staff Council meeting.  As in 2007, the “personal holiday” has been added to the days the University is closed in December and personnel will not have a choice for the next several years.
