Last Meeting: Minutes of the March 13 meeting were approved as distributed.

Special Agenda Items:Discussion of year end requests for Reese Library; development of prioritized list.

Area Reports:
Media Service: (Ralph Herndon): Media Services set up a video conferencing call to the GHSU Athens campus for the GHSU ASU Nursing Forum on April 11.

Curriculum Center: (Cindy Britt): No report.

Reference: (Fay Verburg): Fay took part in the following events: Pig Out, the PKP Initiation, and as a judge for one of the oral presentation sessions at the PKP Student Research and Fine Arts Conference. She also met with four students for individualized research consultations.

The reference schedule during the extended hours of Finals Frenzy has been completed. Thanks to Yadira Payne and Marshall Abuwi for agreeing to work the extra hours.

Be sure to notice the new paint and added office blinds in the reference room. Thanks to Administration for their support of these renovations.

Library Instruction: (Camilla Baker): No report.

Special Collections: (Carol Waggoner-Angleton): The Special Collections Librarian’s office has temporarily been turned into a workroom for archival processing. All supplies have been removed from the manuscript room and the first three projects for processing have been moved to the space.

Natalie Logue was in Reese Library to shadow various departments for career development. She spent time with Kyle McCarrell, LouAnn Blocker, and spent the bulk of her time in Special Collections where she worked on the inventory for the J. Louis Sayre collection.

The Dr. Bill E. Bompart Map Collection is close to being completed. After getting a deed of gift from Mrs. Bompart, the Library has weeded the collection for all items which fit the collecting remit. One piece was transferred to the Delta Corporate Archives. Some items are waiting assessment by instructors before deciding on dispersal. The majority has been offered to UGA and they have agreed to take it in June. Details of transferal being negotiated.

Special Collections received a thank you note from Sally Cook for teaching her ASU1000 classes. The gesture was much appreciated by staff.

Voice mail has been discontinued in Special Collections. All missed calls will now be picked up by the answering machine.

Acquisitions/Cataloging: (Kyle McCarrell): Four members of the Technical Services staff at Georgia College and State University visited our Technical Services department April 4. The groups discussed workflows, processes, and the organization of Reese Library’s department as GCSU is looking to make some changes to their own. We hope to visit them in the summer and continue our dialogue over the coming months and years regarding best practices.

FY12 book ordering is nearly complete. All further funds will be used to purchase additional e-content.

Due to the perpetual e-book content Reese Library purchased through Ebrary, a hosting fee was charged to the Library.. However, this fee would be waived if a subscription from Ebrary is purchased. It was decided that for a small amount more, the purchase of the Education subscription collection would be a wise investment of library funds in support of the graduate program in the College of Education. Thus, there will soon be access to over 3,500 education e-books.

Maryska Connolly-Brown and Kate Culver continue to catalog new and donated materials.

Automation: (Rod Bustos): Owen Angleton, Automation Assistant, performed several software updates for the student computers during Spring Break. He was able to complete updates on the first floor computers. The plan is to finish updates on the 2nd and 3rd floors sometime after spring semester ends.

Plans are still in place for a Voyager upgrade in early May. The GIL Service site has not distributed the exact schedule yet but Bob Trotter, USG GIL Technical Support Services Manager, indicates it should be going out the week of April 16.

Outreach:: (Autumn Johnson): Matthew Whittington, Outreach Assistant, submitted a script for the new student orientation video on behalf of the Reese Library. The segment focuses on the information resources and services offered rather than history, etc. Filming took place on April 11 and April 13.

Multiple articles have been sent to the “Library Corner” and “Campus Notables” columns of ASU Report since the last Library Faculty Meeting. Efforts are being made to include Reese Library in other sections of the report to increase Reese Library’s visibility.

National Library Week, April 8-15, was promoted around campus and online. The week included three events: Family Room Grand Unveiling, Facebook Photo Contest, and the Library Workers display case. Staff and faculty participation was very enthusiastic. Although the photo contest did not yield many participants it did increase the number of unique visitors to our various social media accounts.

The Reese Library Facebook page adopted the new timeline feature. Considerable efforts have been made to promote special events and library resources on the page. According to Facebook Insights, the page has reached 1,146 unique people (an increase of 352.96% since March 11). The total number of “Likes” has increased by 26 people (16%) and the number of “Check-Ins” has increased by 91 (30%).

Outreach is considering adopting other Web 2.0 applications for Reese Library. Accounts have been made with Twitter, Flickr, and Foursquare. Their effectiveness is still being assessed. Outreach is also considering using a blog in place of the What’s New html webpage. Consideration is being given to the Wordpress platform and the department will attend a webinar later this month on the topic. Implementation of new applications will probably take place during the summer semester and may require collaboration with Automation.

The Reese Library orientation table received a face lift. “Like Us” stickers aimed at promoting Reese Library’s social media presence were added to the candies given to students. QR codes were added to promotional materials as well as the new E-reader display.

Other Upcoming:
ASU Faculty and Staff Appreciation Day: The theme for Reese Library’s Progressive Snacking will be “Stache Bash” and will include photographs of history’s famous mustaches and mustache-shaped cookies.

Earth Day is April 22. To celebrate Earth Day, the bulletin board in the JSAC will focus on the environmental impact of using e-books. It will highlight the 75,000 + collection of e-books available at Reese.

“Finals Frenzy!” will be promoted through Student Activities and Outreach-generated materials.

Electronic Resources/Serials: (LouAnn Blocker): The annual serials review letters with spreadsheets have gone out for review to ASU deans and department heads to make decisions about next year’s serials subscriptions.

The library will acquire the American Chemical Society Legacy Archives through one-time funding. This product provides full-text searching and online access to all titles, volumes, issues, and articles published by the ACS from 1879 to 1995. The library already has a subscription to forty-two ACS journals from 1996-present.

Government Information: (Yadira Payne): The Government Information department passed the surprise inspection and audit by SRS/DOE. All current materials, receipt processing, access to, and disposal of their publications were reviewed.

Two new student assistants have been hired: Jessica Koceja and Kirsten Fitzgerald. If you have not met them yet, please stop by and introduce yourself.

As of March 31 the 1940 Census records will be released. For the first time, these will be free and online. Names, addresses, and occupations records with search functionality is available. The direct URL for the 1940 Census records is http://1940census.archives.gov. This information, as well as future updates, will be available via the Census LibGuide at http://guides.aug.edu/censusguide.

Yadira is currently working on the 2012 Memorial Day display. This year’s focus will be on welcoming returning troops as well as honoring those who have fallen.

Yadira’s presentation at the Tennessee Library Association’s (TLA) conference March 21-23 was very well attended. The title of her presentation was “Out of the Box Outreach: Examples of Fun and Successful Programs”. It will be published in the TLA journal.

Business Services: (Ginny Loveless): The automated external defibrillator (AED) on the first floor has been replaced with a pediatric AED machine that contains both appropriately-sized electrodes: adult and child. Since we mostly have adults in the building, the machine is currently set up with the adult pads. In an emergency, the user will need to switch the electrode pads from adult to child. They are clearly labeled, with pictures. Children’s bodies are smaller and they require smaller electrode pads for defibrillation. This will be available for use with children with their guardians in the Family Room.

Associate Director/Circulation: (Jeff Heck): Circulation is in alpha setup of add-ons within the new version of ILLiad. The add-ons will allow staff to run searches in Amazon, Google Scholar, and other sources, including the Voyager OPAC, without leaving the ILLiad software. The add-ons are based on API interfaces, so each vendor is able to write their own connection piece between ILLiad and their software. The result should be smoother and faster import of information into the ILLiad software.

Director: (Camilla Reid): Librarian for Special Collections, John O’Shea’s, retirement reception in the JSAC Coffeehouse was well-attended on the afternoon of March 28.

Camilla attended the Spring 2012 Regents Academic Committee on Libraries meeting at Macon State March 15-16. The library directors involved in the USG consolidations met ½ day on March 15. The entire RACL met all day on March 16.

At the annual GIL Users Group Meeting (GUGM) on May 17 the directors of the consolidating libraries will be doing a panel presentation.

Camilla encouraged everyone to attend open forums for the candidates for Dean of the College of Education during the week of April 23.

Consolidation Reports: (Reid): The Consolidation Library Work Team (CLWT) is continuing to meet every Wednesday morning. Since the last Library Faculty meeting, the CLWT has met five times. The team is relying heavily on the input of the Library Peer Working Groups from the two libraries and will be asking for more input in the coming weeks. An updated Planning Document was sent to the Consolidation Action Team on March 30. Status Reports were sent to Consolidation Project Management March 16 and April 13. One of the Committee’s current concentrations is the upper level administrative structure for the libraries which cannot be settled until decisions are made and announced regarding the responsibilities of the GHSU Director of Libraries, Brenda Seago, who will start at GHSU on June 1. The CLWT has identified IT-related issues and have discussed these with the IT liaisons (Janice DeLoach from ASU and Joe Covington from GHSU) staffed to the CLWT. The primary person from GHSU who is discussing instructional design, development, and other related support services with Media Services is Michael Casdorph, Director of the Instruction and Research Systems group. The CLWT is meeting with the SACSCOC Liaison (Mickey Williford) on April 18.

Committee Reports: (Bustos): Instead of a regular committee meeting, the IT committee will be meeting with Maureen Akins, Assistant Director for Instructional Services, on April 13 to get a sneak preview of the new Desire2Learn system.

(Heck): Faculty Policies Committee concludes its work for the 2011-2012 term as of April 23, when the new members will be welcomed to the committee.

(McCarrell): Online Education Council: Desire2Learn (D2L) training is occurring over the next couple of weeks and throughout the summer. It is advisable for everyone who staffs the reference desk to take at least the basic D2L training so that when students have questions, library staff are able to speak from a place of knowledge instead of seeing the interface anew.

(Payne): Women’s Studies: The Tri-Iota Honor Society induction ceremony will once again be held on the 2nd floor of Reese Library on May 3.

(Blocker): The search for the Assistant Library Director for Educational Media Support Services has been suspended at the direction of the Consolidation Action Team (CAT).

(Reid): The Library Committee met March 13 and is putting together its annual report and recommendations to the VPAA. They are concentrating on issues related to the consolidation. The committee has sent a request to Public Relations and Publications to add the Library website to the ASU homepage next to Athletics at the top right of the main page.

The ASU Ceremonies Committee is planning a traditional Augusta State University commencement May 12 at 10 a.m. in the James Brown Arena. All faculty are encouraged to attend, especially since it will be the last spring graduation as Augusta State University.

Miscellaneous: (Payne): The CSRA Library Association (CSRALA) conference is scheduled for May 25 in the JSAC. Registration information and the agenda will be sent out soon. At present, registration will be $45 for members and $50 for non-members. It promises to be a fun and educational event as we celebrate the CSRA’s 50th Anniversary.

The Augusta Literary Festival was a wonderful event. A great deal of effort went into putting this first annual event together. Yadira’s book talk went well.

(Blocker): GLA Awards Committee: Awards nominations are due May 14. There is a new award this year, the GLA Team Award. All the information needed for nominations can be found at http://gla.georgialibraries.org/comm_awards.htm.

(Reid): Camilla represented Reese Library at the Augusta Technical College Library Advisory Committee meeting March 27.

Camilla has written an overview of the Jaguar History Project as part of the consolidation documentation. GHSU administration is also interested in a similar initiative for MCG/GHSU.

(Waggoner-Angleton): GUGM registration is now open.

Next Meeting: April 30, 2012 10:00 a.m. Media Services’ Conference Room
