Last Meeting: Minutes of the June 8 meeting were approved as distributed.

Special Agenda Items:(Blocker): Library faculty voted to cancel the Literature Criticism Online titles Short Story Criticism and Poetry Criticism because of extremely low use of the resources. The volumes the library already purchased will continue to be available, but no new ones will be added. The Augusta City Directory Cross-Search Directory will also be cancelled. The library faculty voted by email in advance of the meeting to cancel Book Review Digest Plus. After discussion of Global Road Warrior, it was decided to continue the subscription, promote it more, and re-evaluate next year.

ERIC documents available from eric.gov digitally will be weeded from the microfiche collection.

JSTOR and Project Muse microfilm will be retained.

Jeff will find out what the FDLP regulations are regarding ownership of census microfilm. After that, the library will make a decision on whether or not to purchase 1940 census film. This is the first census that will be made available in its entirety free online from NARA, which will influence the decision.

Area Reports:
Media Service: (Ralph Herndon): Gordon Spivey and Ralph are serving on two consolidation sub committees: Technology and Facilities Standards, and Events.

Curriculum Center: (Cindy Britt): No report.

Reference: (Fay Verburg): No report.

Library Instruction: (Camilla Baker): One library instruction class remains for the summer semester.

Special Collections: (Carol Waggoner-Angleton): Carol has completed the thesis inventory and submitted the list to Kyle. Database entry has begun on data collected from the records retention survey.

Acquisitions/Cataloging: (Kyle McCarrell): No report.

Automation: (Rod Bustos): Owen Angleton has completed upgrades to the student-use computers on the first floor.

Intern Joanna Brailer is currently researching different chat services which offer real-time reference assistance.

Outreach:(Johnson): Promotional materials for “Saving the Voices from Augusta’s Past” lecture series are now posted throughout campus. This includes oversized flyers in the poster mounts in the Grove (courtesy of ASU Student Activities) and the Janus signs in the JSAC Breezeway and Bookstore. A press release was submitted to Public Relations and will be distributed to related community and archival publications.

Autumn Johnson, Ginny Loveless, and Camilla Reid met with Eddie Howard and Dean Smedley from the ASU Office of Student Activities. The Outreach Department will now organize the campus-wide Finals Frenzy! week. This includes programming, scheduling extended hours, and making logistical arrangements. ASU Office of Student Activities will provide funding.

The JANUS digital display will be mounted vertically on the column to the right of the main stairway. The photocopier and quick access computer will be moved accordingly. Business & Auxiliary Operations has been contacted regarding the installation.

Working collaboratively with Lou Ann Blocker, Outreach has designed a “Featured Journal” poster. The feature will highlight a selected title with a basic summary, eye-catching graphic, and access information. The Journal of the First-Year Experience & Students in Transition is planned for August. The poster will be mounted on the first floor and will be promoted on JANUS signage, the What’s New Page (blog), and social media accounts.

Lisa Kaylor from the Augusta Chronicle interviewed Autumn Johnson about the Second Floor Gallery and the library’s ongoing community outreach efforts. Kaylor followed-up by interviewing artists Cyndy Epps and Angelika Selman-Bondar in Reese library. The article will appear in the “Neighbors” section of the Augusta Chronicle.

Changes were submitted to Dr. Edgar Johnson concerning the draft Fall 2012 ASU catalog. The “Curriculum Center” and “Media Services” entries required changes related to page anchors.

Outreach denied request by alumna to use the library for a wedding to be held on Labor Day. The library cannot host private events during campus-wide closures.

Electronic Resources/Serials: (LouAnn Blocker): Melissa Johnson cataloged 24 serials items.

Government Information: (Baker): Camilla B. updated and edited the Government Information LibGuides.
(Heck): Jeff Heck completed and submitted the FDLP Library Forecast Survey.

Business Services: (Ginny Loveless): The library underwent a cash audit on June 21. No discrepancies found. FY12 year-end budget report shows a balance of $.71.

Associate Director/Circulation: (Jeff Heck): Circulation will be re-arranging the work room area, swapping the ILL and staff desk areas, moving shipping supplies, and adding the CD cabinets to the area with Lillian’s desk. Shifting is underway to accommodate the music scores that will be arriving from Media Services. Learning Support materials have been brought to the library for re-cataloging and placement in the Reserves area.

Director: (Camilla Reid): On June 11 Brenda Seago, Lindsay Blake, and Camilla R. met with the GHSU Dean of Nursing, Lucy Marion, to discuss Greenblatt Library resources and services for the College of Nursing including the thirteen ASU nursing faculty and the undergraduate students moving to New U’s health sciences campus in January 2013.

Autumn Johnson, Ginny Loveless, and Camilla R. met with Eddie Howard and Dean Smedley from Student Activities about transferring the Finals Frenzy! programming to Reese Library beginning in fall 2012.

Both the Government Information Librarian/FDLP Coordinator and Special Collections & Institutional Archives Librarian searches are underway.

Consolidation Reports: (Reid): Representatives from the Library Work Team (Seago, Reid, Brown, and Loveless) met with representatives from Human Resources (Laurie Bush (GHSU) and Patricia Harris (ASU)) on June 13 to discuss the draft University Libraries Organization Chart and received instructions about completing a grid based on the organization chart and for updating job descriptions for positions with responsibility changes in New U.

Camilla R. met with Michael Casdorph, GHSU Director of Instructional and Research Systems (IRS), on June 13 to discuss the move of Media Services to IRS in New U and the effect of various space planning scenarios on the Curriculum Center and the educational media collection.

In an All-Library meeting on June 15 Camilla R. presented and discussed the draft University Libraries organization chart with Reese Library employees.

The Library Work Team has begun more detailed review of the Library Peer Working Group reports and is working with four newly-formed sub-teams: IT, Website, Policy Review, and Content Management.

The Content Management Peer Working group (Camilla R., Brenda Seago, LouAnn Blocker, Kyle McCarrell, Gail Anderson, Sandra Bandy, and David King) met June 27 to discuss the overlap and consolidation of databases held by each library.

(Heck): The Policy Peer Working Group (Jeff Heck, Kathy Davies, Fay Verburg, Lisa Workman, and Katie Glaeser) submitted, per the request of GHSU’s Legal Affairs department, a Policy Crosswalk which details the policies of both libraries that matches comparable policies. Using the spreadsheet provided as a starting point, the group located and added all other relevant policies and responded to the set of initial questions.

(Johnson): Autumn Johnson and Owen Angleton (Reese Library) met with Tom Cutshall, Kimberly Mears, and Lindsay Blake (Greenblatt) to discuss the consolidated Libraries website. The website will launch mid-January 2013 to coincide with New U (pending SACS approval). The committee has begun designing web-based surveys designed to get input from users on what they like/use the most on the current websites and what/how they wish we would improve the sites. The subcommittee meets weekly.

(Heck): The Governance Work Team produced an updated slide show for distribution and a survey for faculty comment. 196 respondents provided information, and the survey has been extended through July 1.

Committee Reports: (Baker): The Special Collections and Institutional Archives Librarian search committee had its first meeting June 26.

(Blocker): The Government Information Librarian/FDLP Coordinator search committee will have its first meeting July 16.

(Heck): Faculty Policies Committee: Jeff Heck, Wally Evans, and Bill Reese combined efforts to produce a proclamation from faculty for Dr. Bloodworth’s reception at Sacred Heart Cultural Center. The Faculty Policies Committee approved the wording on behalf of the faculty.

Miscellaneous: : (Reid): On June 18-19 Camilla R. was on leave to participate in a strategic visioning retreat for Augusta Preparatory Day School.

On June 14 Camilla R., Kyle McCarrell, Rod Bustos, and LouAnn Blocker participated in a GALILEO Discovery webinar related to what EBSCO will provide as a solution.

(McCarrell): Kate Culver was chosen by the Library Support Staff Interests Round Table (LSSIRT) to receive a Registration Assistance Award for the Library Support Staff Certification (LSSC) Program. The LSSC Program is a national certification program that allows library support staff to demonstrate their competencies and be certified by the American Library Association.
