Last Meeting: Minutes of the October 23 meeting were approved as distributed.

Special Agenda Items:(Blocker): Reese Library has a choice of one of three Facts on File databases to receive free for one year. The consensus was that World News Digest would meet our needs best. The subscription will begin January 1.

Area Reports:
Media Service: (Ralph Herndon): No report.

Curriculum Center: (Cindy Britt): Cindy had an MAT class of fourteen students come in for an orientation on the evening of November 6. Education majors are in labs in the schools and will finish those on November 16.

Reference: (Fay Verburg): No report.

Library Instruction: (Camilla Baker): No report.

Special Collections: (Carol Waggoner-Angleton): Carol Waggoner-Angleton and Renee Sharrock have been working on rewriting the policy documents for Special Collections and Institutional Archives (SCIA) and Historical Collections and Archives (HCA). Drafts are being circulated. SCIA has also been gathering the preliminary information for the final grant report on the Saving The Voices of Augusta’s Past grant. Final program took place October 24 with 21 attendees. SCIA ran a literature search and resource discovery for Kathy Schofe in Public Relations and Publications on museum management. SCIA has been assured that SCIA will be kept in the loop on the planning for new a Georgia Regents University Augusta museum on the Laney Walker campus.

Acquisitions/Cataloging: (Kyle McCarrell): The CDs and cabinets have been moved from Media Services to the library. The material still needs to be updated in the catalog. For now, barcode issues may prohibit their checkout.

The interviews for the Library Assistant II position are ongoing with Kyle McCarrell (chair), Camilla Reid, and Ginny Loveless serving on the search committee.

Kyle will be attending the Charleston Conference November 7-9.

Automation: (Rod Bustos): No report.

Outreach:(Autumn Johnson): The Featured Journal for the months of November and December will be Frontiers: The Interdisciplinary Journal of Study Abroad. The journal selection was chosen because of November’s International Education Week.

The first floor display case and browsing areas of the library celebrate International Education Week. The selections focus on international writers and travel guides.

Reese Library will host a lunch and learn event entitled “Keep Calm, Carry Reese Along.” The program will highlight the available e-resources faculty and students can use while abroad.

Kim Mears is now the Greenblatt liaison for the Google Mapping project. The project has been approved by University administration on both campuses. A Google site-visit is planned for the coming weeks.

Electronic Resources/Serials: (LouAnn Blocker): GRU Augusta will subscribe to SpringerLink through the NERL consortium next fiscal year instead of through the Lyrasis consortium. The Summerville campus will gain access to 96 additional journals due to the consolidated agreement.

The consolidated libraries will have access to the full ACS (American Chemical Society) Web Editions. Previously, only ASU had access to the full collection and GHSU had a subset.

Melissa Johnson has almost completed the boxing, labeling, and placing of this and last year’s journal issues in the bound stacks. These are titles that were previously bound, but now, in order to reduce collection management expenditures, remain in the stacks in pamphlet boxes. She completed original cataloging on two titles, and continues copy cataloging and correcting serials records as errors are reported. She has begun her shadowing at the reference desk and has taught four instruction sessions after shadowing.

Government Information: (Virginia Feher): Government Information is now bar coding new tangible receipts, including microfiche. In the long-term, this will greatly simplify the discard process. In the short-term, this will simplify the circulation process. The latest Marcive download included items that have already been received and shelved, but JannMarie is pulling those items and attaching a bar code. In addition, when possible, the circulation department is now bar coding and attaching the bar code to the existing item record when checking out a government document, whereas in the past they had been creating on the fly records that were deleted when the patron returned the material. The flat display case outside of the Government Information offices now features government documents related to smoking and lung cancer as November is Lung Cancer Awareness Month. This also relates to the future smoking ban on campus. On November 19th, Virginia will meet with Hallie Pritchett, Regional Depository Library Coordinator, and Ann Carey, Government Documents Processor, at the University of Georgia in Athens to learn how UGA processes their government documents and how they will conduct an inventory of their entire collection. Lastly, Government Information has joined the What's New at Reese Library blog, and the first blog post is about the disaster preparedness display based on the Center for Disease Control’s graphic novel, “Preparedness 101: Zombie Pandemic.”

Business Services: (Ginny Loveless): Ginny attended a Building Manager training session on October 25 regarding campus bombings.

Associate Director/Circulation: : (Jeff Heck): Jeff attended the Association of Research Libraries Assessment Conference in Charlottesville, Va., last week and will attend an Access Services conference at Georgia Tech this week.

Director: (Camilla Reid): Several Reese Library faculty and staff members attended the Greenblatt Library’s Open Access Brown Bag event on October 23. Speakers were David King and Sandra Bandy.

At the October 30 ASU Faculty meeting the faculty endorsed the following AAUP resolution: It is the view of the ASU faculty – in compliance with AAUP national guidelines – that library faculty shall be hired on a tenure-track basis after consolidation with GHSU as their duties include teaching and they are involved in matters of faculty governance.

A second AAUP resolution relating to maintenance and growth of library collections for the new university was introduced, but tabled until the next ASU Faculty meeting.

On October 24 Camilla R., Fay, Virginia, and Autumn attended a new faculty reception at Savannah Rapids Pavilion for GHSU and ASU faculty.

Camilla R., Kyle, and Ginny attended the ASU-GHSU Transitioning Forward Dialogue follow-up session on October 30.

Greenblatt Library: (Brenda Seago): No report.

Consolidation Reports: (Reid): On October 29 Brenda and Camilla R. met with Mickie Williford of GHSU Institutional Effectiveness regarding the libraries’ preparation of documentation for the SACS site visit in 2013.

The Library Work Team’s Strategic Planning Work Team met on October 24 and October 31 to continue crafting the mission, vision, value statements, and strategic goals for the libraries.

(Bustos): Members of the Voyager Consolidation team and the IT working group have a conference call scheduled with OCLC November 6 to discuss issues related to consolidating ILLiad.

(Heck): The Governance Work Team has completed a rough draft of the University Senate Bylaws and is beginning review of the colleges’ bylaws for GRU. The Policies team is meeting to try to complete the Libraries policy merger prior to January 2013.

Committee Reports: (Loveless): Physical Facilities Committee met October 31. Christopher Bates will serve as Chair and Paulette Harris as Recorder.

(Reid) The Student Technology Fee (STF) Committee completed its review and rankings of the FY13 proposals. Dr. Rychly, VPAA, and Dr. Basciano, AVPAA, reviewed and approved the rankings with minor changes on October 24. Deans, department chairs, and faculty requestors were notified and expenditure of the funds is underway. Reese Library was awarded funds for electronic databases and supply support for student printers.

(Reid) The Library Committee met on October 26 with Dr. Rychly, VPAA, to discuss continuing maintenance of library resources, and resources for new programs, for the Colleges on the Summerville campus after consolidation.

(Bustos) The campus IT committee met on October 26. The committee agreed to draft a letter of support calling for faculty to be involved in providing feedback on IT issues in the New U. Chip Matson provided a brief update on consolidation-related IT issues. Edgar Lamotte provided an overview of the services to be provided by the new Education and Collaborative Technology Center.

(Waggoner-Angleton) Carol was elected as Georgia Archives Month Committee co-chair. This is a two year appointment

(Blocker) The ASU Chapter of the Honor Society of Phi Kappa Phi holds its initiation on November 16. Library Acquisitions Specialist Amanda Strever has accepted an invitation for membership. She was invited as a graduate student.

Miscellaneous: (Johnson): A-Day Luncheon will take place November 6 for all Reese Library faculty and staff. This year the library achieved 100% participation for the 8th year in a row.

The blog schedule will be redistributed to faculty. Faculty should encourage their department staff to blog as well.

The Fall Book Sale at Reese Library will take place November 28 and 29. Proceeds from the sale will support the Library through the ASU Foundation. Only donated materials are eligible to be sold.

The farewell celebration for LouAnn Blocker will take place November 27 at 4:30 p.m. in the technical services area of the library.

Reese Library will participate in the annual Holiday decorating and toy drive council sponsored by the Staff Advisory Council. This year the theme is “An ASU Christmas.” The toy drive will run through December 4.

The Reese Library annual holiday luncheon is scheduled for December 19 at 12:00 p.m. Greenblatt Library staff will also attend.

The technical services/circulation Harry Potter-themed feaster raised over $104 for Library support through the ASU Foundation for the Kids University initiative.
