Special Events

Core Business

Our core business is to consult, provide, plan, and coordinate the use of specialized media in support of primarily special events academic in nature, to include campus ceremonies, events, dinners, athletic functions, and various departmental functions, etc. Examples of such events can include; department sponsored conferences or workshops, visiting lecture series or guest lectures, documentation services for meetings, press conferences, seasonal events, public functions and dignitary functions.

What is a Special Event?

The Special Events Unit provides media services for the support of academic courses and special events using media on and off campus. A course is defined as being listed in the schedule of classes, having a course number, meeting at the time and general assignment location listed and having a mandatory attendance of students. A special event is defined as any event that is not an academic course.

Special Event Assistance

Special Events requests for equipment delivery,setup and/or staffing require five working days notice. Complex or large venue events require 10 days notice and an attached layout diagram and a walk down prior to the event. There is always a fee for services for special event setups unless prior arrangements have been made. A fee is charged for equipment use and staff time for special events and non-course instruction, including public ceremonies, faculty, staff, student activities. The fee for Delivery, Setup, and Removal is doubled if the event is off campus.

Media Assistance

There is no charge for student media assistance for academic classes. However, because of a limited number of student technicians and that most of our classrooms are user friendly, media assistance will normally only be assigned to the largest classes requiring complex media usage.
