If you would like a place on the Maxwell Theatre calendar, the first step is to determine all of the possible dates that you are interested in. Please make sure to include all of the time needed in the Maxwell Theatre to produce your event. This includes time for load-in, technical preparations, rehearsal, performance, and strike/load-out/restore.
When you have dates in mind, the next step is to call the Maxwell Theatre Director at 706-729-2310 to determine if those dates are available. The more flexible you are with your dates, the more likely it will be that we will be able to work out a time for you. Events requiring more than a couple of days are less likely to find appropriate dates than events requiring less time.
Once we have determined a date for you, we will place a hold on that date in the “unofficial” calendar. Meanwhile, using the information you have given us, we will draw up an estimated cost for your rental. Non-profit groups and Augusta State University groups must fill out a Rate Structure Guidelines Worksheet in order to qualify for discounted rates. This estimate is only as good as the information you are able to give us. Changes in the amount of time in the space, labor requirements, or equipment used can change the cost of the rental. You will be billed on your actual use after the performance is over. Once the estimate is complete, a facilities reservations form must be completed. We can send both of these to you. You must return a signed copy of the facilities reservations form with a $50 deposit in order to be placed on the official calendar.
Holders of unofficial reservations will be given one week to return a facilities reservations form with the non-refundable $50 deposit if another request be made for the date. If the holder of the unofficial date fails to return the form and the deposit, by the date specified, the date will be offered to the next group.
All Off Campus users are also required to sign the Rental Agreement and initial the policies statement. The Rental Agreement requires that Off Campus users obtain an insurance policy.
Your estimate form will also ask that you send us a check for twenty-five percent of the estimated facility fees thirty days prior to the first date of your rental. Even official reservations will be cancelled by Augusta State University if the twenty-five percent fee is not received in time. This can be a big problem for productions, so please be sure to have the deposit in on time.
