INFORMATION FOR YOUR ORGANIZATION
Student organization are required to renew their charters annually through the Office of Student Activities. After completing, by typing or printing clearly, both pages of one Charter Renewal Application form, return it to the Office of Student Activities, located on the first floor of the Jaguar Student Activities Center.. You must have at least five currently enrolled ASU students in good standing and an advisor’s signature. This will be verified by the Office of Student Activities. Following a successful renewal, information about your organization should be updated by submitting the Information Update Form.
Names the organization's current president. This form should be submitted following a successful renewal, and must be resubmitted when the a new President takes office and/or when his/her contact information has changed.

STUDENT ORGANIZATION OFFICER TRAINING
Each Fall during September, The Office of Student Activities will hold their annual Officer Training program. This event replaces the President & Advisor Luncheon, and failure to attend may result in the loss of recognition. This means that your organization will NOT appear on the active organization list and will not be granted the usual privileges of a recognized and chartered student organization. Each organization is required to present at least one member of said organization's leadership, or at least one representative thereof. Organizations are encouraged to have at least two members in good standing in attendance, so that they receive the full benefit of the training. If you are a part of, or represent, the leadership of more than one organization, you may only represent a total two during the program. A keynotes speaker will be in attendance, and officers may select from a number of dynamic breakout sessions from which to attend. Breakfast and lunch will be provided, and officers will be presented the opportunity to renew their organization's charter, submit new constitutions and other important documents, and obtain keys for lockers and mailboxes.
ACTIVITY HOUR
In 2005, The Student Government Association made a request of the administration that they establish an "activity hour" during the school day. During Activity Hour, lectures are deliberately not scheduled so that student organizations and other, miscellaneous meetings can take place. The SGA made a case that having such an hour would make it more convenient for students to participate in student organization meetings and other campus activities. Effective Fall Semester 2005 and for each semester thereafter, lecture classes will not be scheduled on Tuesdays and Thursdays from 2:30 p.m. to 3:45 p.m. However, this does not apply to laboratory classes. Activity Hour gives students valuable time away from their studies and instead gives them time to hold organizational meetings and attend on-campus events. We encourage students to take advantage of Activity Hours by holding meetings at a time when most of their members will not be in class.
STUDENT LEADER ACADEMIC POLICY
A Student Leader is any student currently enrolled at ASU who stands in a position of formal leadership within a recognized student organization. All undergraduate student leaders must possess and maintain a minimum 2.25 grade point average (GPA), while all graduate student leaders must maintain a 3.00 GPA. When any organization renews its charter, The Office of Student Activities will screen each renewal for at least five currently enrolled members and officers with at least a 2.25 GPA. At the end of each semester, it is the responsibility of each organization's Faculty Advisor and the organization's leadership to review the grade point averages of their Student Leaders. If a Student Leader fails to maintain the required academic standard, they must forfeit their position immediately.
EVENT/MEETING REGISTRATION FORM
Though the RESS Reservation System has now been implemented for the Jaguar Student Activities Center, student leaders are still encouraged to complete an Event Registration Form. The form must be submitted at least ten days before the even occurs to Ron Lunk, the Assistant Director of Student Activities. Generally, this form should be submitted BEFORE facility reservations have been made, along with authorization from the organization's faculty advisor. When the forms are submitted, student leaders are encouraged to schedule a meeting with the Assistant Director so that he may field questions concerning the planning of your event and ensure that the facilities that you plan to reserve are available and meet your organization's needs. This will also enable The Office of Student Activities to help you plan and promote your event ahead of schedule, while making sure that the even planning and reservation process has been fully completed. Please note that the Even Registration Form is a three-part document, and is thus NOT available online.
At the end of each academic year, student leaders are required to review and complete a standard Year End Report which will then be immediately submitted to the Office of Student Activities. Failure to complete and return your report will result in the loss of any Special Services Funding, if applicable, during the next academic year.
FOUNDING A NEW STUDENT ORGANIZATION
First, obtain a Charter Request packet from the Office of Student Activities, as well as a copy of the Chartering Handbook and guidelines. Minimum membership consists of at least five currently enrolled ASU students in good standing, and one faculty advisor who is a full time employee of Augusta State University. Submit the completed Charter Request Form along with a constitutional draft to the Office of Student Activities. Completed requests will be forwarded to the appropriate parties for approval. Student organizations are encouraged to submit this form to The Office of Student Activities around the beginning of the semester, so that they may arrange a goal setting and planning session early in each semester in order to plan out meetings, activities, and events. Goal-setting tips are included in the handbook, and samples of the required forms can be found in the last section.
